Provider terms (dentists and clinics)

These terms apply to dentists, clinics, labs, imaging centres and their staff ("Providers") who register on Dentity. They add to the general Terms of Use and the Privacy and Data Policy.
1. What Dentity is to you
Dentity is a software platform that helps Providers manage bookings, schedules, queues, reminders, promotions and their public profile, and helps patients keep and share their record. We do not practise dentistry, employ you, supervise your work or take part in the care you give.
2. You are responsible for your practice
- You are solely responsible for every diagnosis, treatment, prescription, referral, fee, refund, record and communication with your patients, and for any mistake, omission or complication.
- You must hold every licence and permit your activity needs, keep them valid, and give us documents and information that are true and current. Tell us at once if a licence lapses or is restricted.
- Our "verified" mark means the documents you gave us were received and looked at. It is not an endorsement of you or your work.
- You must obtain the patient's consent that the law and your profession require; using the Platform does not replace it.
- Claims, complaints, damages and disciplinary matters that arise from care are between you and the patient and the competent authorities. Dentity is not a party to them, and you agree to hold Dentity harmless for them to the extent the law allows.
3. Patient data
- You may open a patient's record only while the patient has given you permission, and only for care and administration of that patient. Every access is logged.
- Keep sign-in details private, give staff only the access they need, and remove access when someone leaves.
- Do not copy, sell, share or use patient data for marketing or any purpose outside the patient's care, except as the law requires.
- Clinical entries you create are your professional record; you must keep and protect them as the law requires. Where you are a controller of that data, you are responsible for meeting your own legal duties.
- Report to us without delay any suspected leak or misuse.
4. Listings, prices and promotions
- Your profile, services, prices, opening hours and promotions must be accurate and lawful. You must honour a booking, price or promotion you have published, and any credit you have issued.
- Payment for care is between you and the patient unless the Platform clearly says otherwise.
- You set your own cancellation and no-show rules within the options the Platform provides and are responsible for applying them fairly.
- Do not post false reviews or pressure patients to.
5. Plans and fees
The Platform is free to start. Paid plans, limits and fees may be introduced and changed; we will announce them in advance and they are shown in the admin area. Limits of your plan (for example the number of promotions) are applied automatically.
6. Suspension and removal
We may hide, suspend or remove a Provider profile, or limit features, if these terms or the law are broken, if licences cannot be confirmed, if patients are put at risk, or on a lawful order. We will explain why where the law and safety allow.
7. Our liability
The Platform is provided "as is". To the extent the law allows, Dentity is not liable for lost revenue, missed bookings, downtime, or anything arising from the care you give. Our total liability to you is limited to [amount / fees you paid us in the last 12 months].
